TITLE : WORKSTATION MAINTENANCE PROCEDURE

PURPOSE

To describe the Maintenance Procedure of on premise workstations.

RESPONSIBILITY

1. IT Manager and/or IT Executive is responsible for implementing procedures.

2. IT Desktop Support and/or Technician responsible for performing procedures.

MATERIALS AND EQUIPMENT

  1. Screwdriver
  2. Compressed air or vacuum
  3. Anti Static wrist and ankle straps
  4. Anti Static workstation and floor Mats
  5. Mask
  6. Flash drive or portable hard drive
  7. Damp cloth
  8. Pencil
  9. Parts requisition form

PROCEDURES


 Steps to Remove the Dust from a PC:

  1. Log onto computer with domain admin or local admin account and back up all active user files to network share (\\yourdomain.dom\users\%username%). If computer is not able to access network share or not share is available, back up files to portable hard drive or flash drive.
  2. When file copy is complete, shut down the computer and remove all cords from the device. Take the device to the workbench and place on anti-static mat. 
  3. Place wrist strap on wrist/ankles and attach to ground on workbench or metal frame of device.  If available, check the owner’s manual for the proper method to open the unit. Otherwise, locate the external screws or lever that holds the access panel in place and use the proper methods for opening.
  4. Use vacuum or a can of compressed air to remove any dust from inside. Be sure to avoid the CPU, PSU and other cooling fans while getting into the corners and crevices of the unit. Ensure all heat sinks are clear of dust and debris.
  5. Locate all externally venting fans and remove. Clean with the damp cloth. If unable to remove fans, hold a pencil to keep the fan from spinning and use the vacuum or compressed air to clean. Clean both PSU and CPU fans using pencil method. 
  6. Identify any failing parts
  7. Verify all cables are properly seated.
  8. Verify all RAM and PCI/PCIe/daughter boards are seated then replace the side cover.
  9. Detach wrist strap from grounding source then return unit to designated area and reattach all of the removed cords.
  10. Power on the unit and log in. Verify unit is functioning. Once unit is verified to be working properly, delete all backup files from backup location.
  11. Complete checklist and order any parts that need to be replaced

Steps to replace the Spare Parts:

  1. Gather new parts and place on workstation.
  2. Locate malfunctioning unit and log on (if able).
  3. Backup all current user files to backup location.
  4. When file copy is complete, shut down the unit and remove all cords from device. Take device and place on anti-static mat on workstation.
  5. Place wrist strap on wrist/ankles and attach to ground on workbench or metal frame of device. Open access panel by pulling lever on side or removing screws on back of unit.
  6. Remove new parts from box/anti-static bags and place on anti-static mat
  7. Remove malfunctioning parts and place in anti-static bag. 
  8. Attach new parts, verifying they are seated and screwed in properly then close the case.
  9. Detach anti-static straps then return unit to designated area and reattach all cords
  10. Power on computer and log in. Verify unit is performing optimally. Once unit has been verified to be working properly, delete backed up user files from backup location

Steps to diagnose problem using a live power supply:

If a situation arises that the power supply must be plugged in and under load, the technician is required to stand on an anti-static floor mat to avoid electric shock. The technician should also be grounded via wrist/ankle strap to a grounding source on the workbench.
